ROLE AT A GLANCE:

The Accounts Support role for the Events Team is responsible for managing financial transactions, vendor payments, budget support, and reconciliation activities related to event operations. This role ensures accurate accounting, cost control, and compliance with company financial policies while supporting smooth execution of events.

RESPONSIBILITIES / DUTIES:

1. Financial Operations Support

• Process event-related invoices, purchase orders (POs), and payments.
• Coordinate with procurement and vendors for timely billing and payment.
• Ensure accurate recording of all event expenses in accounting systems (e.g., Oracle, SAP).

2. Budget Management

• Assist in preparing event budgets (PR- Purchase Requisition) and track actual vs. planned spend.
• Monitor event costs and highlight variances or overspending.
• Support cost optimization and financial planning for events.

3. Vendor & Payment Management

• Maintain vendor records and ensure compliance with documentation requirements.
• Liaise with vendors regarding invoices, discrepancies, and payment timelines.
• Ensure timely processing of advances and settlements.

4. Reconciliation & Reporting

• Perform account reconciliations for event expenses and advances.
• Prepare financial reports related to events (cost reports, summaries, analysis).
• Assist in month-end closing activities related to events.

5. Compliance & Documentation

• Ensure all financial transactions comply with company policies and audit requirements.
• Maintain proper documentation for audit and internal controls.
• Support audits by providing necessary financial data.

6. Coordination

• Work closely with Events, Procurement, and Finance teams.
• Provide financial insights for decision-making on event planning and execution.

LEADERSHIP AND SUPERVISORY RESPONSIBILITIES:

QUALIFICATIONS FOR SUCCESS:

Education

Bachelor’s degree in accounting, finance, commerce, or related field.

Experience

• 5 – 8 years of experience in accounting/finance support (preferably service or process / project-based environment).
• Experience with ERP systems (Oracle EBS, SAP, etc.) is preferred.

Skills/Certifications

• Key Skills:

• Strong knowledge of accounting principles
• Attention to detail and accuracy

• Excel proficiency (Pivot tables, VLOOKUP, etc.)
